MedDeskOS, the doctor-owned clinical OS

Clinic website · Bookings · EMR · Google presence

Every patient, traced from Google to the invoice.

MedDeskOS runs your clinic: the queue, notes, prescriptions, billing and analytics. It also runs the online presence that fills it, from your website and bookings to your Google listing. Because it is one system, a patient's path from search to invoice stays in one place.

The problem

Three tabs, two notebooks, one frustrated receptionist, and a Google listing nobody updates.

Most practices juggle a web designer who disappears after launch, a Google listing nobody updates, a receptionist's diary and a billing book. Each one works on its own. None of them talk to each other.

Getting patients in

  • The website doesn't convert

A brochure with no fees, no timings and no way to book. Patients read it at night and forget by morning.

  • The Google listing drifts

Old hours, three photos, unanswered reviews, and newer practices ranking above you on Maps.

  • Patients call instead of booking

Every enquiry lands on the front-desk phone, right in the middle of the 11 am rush.

  • Nobody knows where patients came from

The listing, the website, a referral? Nobody asked, or the answer went into a notebook.

  • Marketing never meets revenue

An agency reports clicks. The billing book reports rupees. Nothing connects the two.

Running the clinic

  • Patient files scattered

Paper charts, WhatsApp screenshots, Excel registers. Every visit turns into a treasure hunt.

  • Queue chaos at 11 am

The receptionist shouts names. Patients miss their turn. Tokens run on guesswork.

  • Prescriptions from memory

Handwritten, hard to read, and nothing warns the doctor about an allergy on file.

  • Billing in a separate book

Prescriptions and bills live in different places, reconciled by hand at the end of the day.

  • No data to act on

Which day actually makes money? Which doctor has the highest no-show rate? Nobody knows.

The problem isn't one missing tool.

It's one patient's path split across five tools that never meet, so nobody can say which search became a visit, or which visit became revenue.

How it works

One patient. Eight steps. Watch where the trail usually goes cold.

Follow Meena from a Maps search to a paid invoice. Marketing tools can see the first three steps. Only the clinic's own system can see the rest.

Illustrative example. The clinic, doctor and patient are fictional.

  1. 1Search

Meena searches “dentist near me” at 9 pm.

Three clinics come up. Yours shows 212 reviews, the right hours, real photos and the treatment she's worried about. That is a Google Business Profile kept current every month, not a listing someone claimed years ago and forgot.

  2. 2Website

The website answers the question she actually has.

Not “welcome to our clinic”. What a root canal involves, what it costs, who does it, and one button to book. Built mobile-first, because she is reading it on her phone at night.

  3. 3Booking

She books a slot without phoning the front desk.

A real slot from the doctor's calendar, confirmed in a few messages. This is where most marketing reports stop: “1 lead generated”. Nobody yet knows whether Meena is a patient or just a number.

  4. 4Appointment· MedDeskOS holds this

The booking lands in the clinic system, with its source attached.

The appointment carries where Meena came from, so nobody retypes it and nobody asks “how did you hear about us?”. She gets a UHID when she is registered.

  5. 5Visit· MedDeskOS holds this

She turns up. Token 14. A nine-minute wait.

Now she is a real patient. Reception and the consult room see the same live queue. Whether booked patients actually turn up is the number that decides whether marketing worked.

  6. 6Consult· MedDeskOS holds this

Notes and a prescription, without fighting the software.

SOAP notes with vitals and ICD-10 search, drug search with allergy and interaction warnings, and an A5 prescription ready to print or share. The doctor's attention stays on the patient.

  7. 7Invoice· MedDeskOS holds this

₹7,300, paid on UPI before she leaves.

Invoiced from the clinic's own service catalogue, with the payment recorded against the visit, on the same record that started with a 9 pm search. The trail didn't go cold. It ended at a number.

  8. 8Report· The part nobody else can send you

Month end: 41 came from Google, 33 turned up, ₹2.64 lakh billed.

Not impressions. Not clicks. Not “leads”. Patients who sat in the chair and paid, and what each one cost to reach. Everything else on this page exists to make this possible.

Digital presence

We help patients find and book your clinic. MedDeskOS handles what happens after they arrive.

The front half of the same patient journey, run by the same team, so there is no separate agency for you to manage.

  • Full-stack clinic website

Designed, built and hosted for you, with online appointment booking, doctor and service pages, and patient enquiry forms. Mobile-first and fast.

  • Google Business Profile management

Your Maps listing kept current every month: photos, services, hours, posts and review responses.

  • SEO and content

Ongoing search optimisation and content, so patients searching nearby can find you.

  • Hosting, domain and data

Website hosting and maintenance, plus domain and data management, handled for you.

An example clinic website with services, fees and a booking button, next to its Google Business Profile showing rating, opening hours, a recent post and a reply to a review.

Optional add-on: performance marketing

Google and Meta campaigns for specific procedures or new-patient acquisition, priced separately, and only when you want to push volume. Analytics show busiest hours, common diagnoses, revenue trends and no-show rates, so spend is decided on evidence.

    20-minute setup call

We provision your clinic, import your service catalogue, and train one staff member live.

  2. Day 2–7

Real patients, real records, your existing data imported. We are on a WhatsApp group with your team.

  3. Day 8–14

    Full clinic rollout

Receptionist, nurses and all doctors onboarded. Paper retired. The WhatsApp group continues.

Patient data deserves serious answers.

Under the DPDP Act your clinic stays accountable for patient data. The system should make that easy.

How we protect patient data
  • DPDP Act 2023

Consent captured at registration, and every change to a patient record logged with who made it and when.

  • ABDM-ready

Creating and verifying a patient's ABHA is built into registration.

  • Encrypted

Patient data is encrypted in transit and at rest, with nightly backups.

  • Yours to take

Your records belong to you. Export is one click, and there is no lock-in on your data.

Questions

What doctors actually ask.

Straight answers. If yours isn't here, ask us on the demo.

Ask us directly
Is our patient data safe?

Patient data is encrypted in transit and at rest. Consent is captured at registration, and every change to a patient record is logged with who made it and when. Backups run nightly with 30-day retention. Our trust page sets out what is in production today and what is still in progress.

Can we import existing patient records?

Yes. CSV import is built in. For paper records, our team helps with bulk entry during the pilot at no extra charge.

What happens when the internet goes down?

MedDeskOS is a cloud system and needs an internet connection to work normally. A full offline mode is on the roadmap but hasn't shipped yet, so ask us for the current status on the demo rather than taking a badge on trust.

Do you integrate with ABDM and ABHA?

MedDeskOS is ABDM-ready: creating and verifying a patient's ABHA is built into registration, and prescriptions can carry the patient's ABHA QR. Live use depends on NHA production credentials, and we will walk you through the current status on the demo.

How long is the contract?

Clinic EMR plans are billed monthly or annually with no lock-in, and annual billing saves 20%. Digital Presence is ₹20,000 a month per clinic. On a 18-month commitment the ₹75,000 website build fee is waived; shorter terms are available with the build fee paid once.

Will our receptionist actually use it?

That depends on the first week more than the software. Staff training is included: we train one person live on day one and stay on a WhatsApp group with your team through the pilot. The queue screen is the only thing reception needs on day two.

Can we export our data?

Yes. Your patients' records belong to you, and export is one click. If you ever leave, we will help you take everything with you at no charge.

What happens during onboarding?

Day 1 is a 20-minute setup call: we provision the clinic, import your service catalogue and train one staff member. Days 2 to 7, one doctor sees real patients on it with your existing records imported. Days 8 to 14, the rest of the team comes on and paper is retired.
